🇧🇪 Ultimate Beneficial Owner (UBO) requirements for Belgian companies

UBO term

In Belgium, a UBO is called the "bénéficiaire effectif". For most Belgian companies, UBOs must be registered in the Belgian UBO register, it's a legal obligation.

Accessing UBO information

You can access this data on the official UBO register website, which is managed by the Federal Public Service Finance (Service Public Fédéral Finances).

UBO document requirements

Depending on your legal form, our Know Your Customer (KYC) team may request your UBO document. This document should include:

  • The reasons for UBO status (ownership percentage, legal representative).
  • The company's information: company name and company registration number.

If another company owns your company, you'll need to submit the official proof of registration document for the owning company, such as a BCE extract.

Approved UBO documents

If the KYC team can't access your UBO document, you'll need to submit a UBO register extract.

UBO register extract

  1. Official document: An authenticated document issued by the Federal Public Service Finance (Service Public Fédéral Finances).
  2. Document title: The document must clearly state that it is the extract "Informations relatives aux bénéficiaires effectifs (UBO)" relevant to your company.
  3. Date: The date the extract was issued must be clearly visible and less than 3 months old.
  4. Company information:
     The company's full identification details, specifically:
    • The BCE registration number or other unique identifier.
    • The company's creation date.
    • The full company name.
    • Status.
    • Legal form.
  5. The registered company address.
  6. Ownership structure and UBO information:
    • The UBO's names.
    • The level (%) of control held.
    • The type of control they hold in the company, such as voting rights or capital participation.

Sworn statement

If your UBO information isn't listed in the register, the KYC team may request a sworn statement from your legal representative.

  1. Document title: Your document clearly indicates that it’s a "Declaration of Beneficial Owners".
  2. Company details: Declare the company name, unique identification number, and office address.
  3. UBO information: Complete personal details such as the name, nationality, address, place, and date of birth of each UBO. Indicate their type of control and percentage ownership.
